Businesses we’ve worked with

Where the hours go
The same jobs come round every week.
- An enquiry comes in at 9pm and waits till morning.
- A quote goes out, and nobody follows it up.
- A clinic’s referral letters get typed into the practice system by hand.
- A law firm keeps its settlement dates in a spreadsheet someone has to check.
Walk us through your week and we’ll tell you which one we’d fix first. If the answer isn’t AI, we’ll tell you that too.
What we set up
All of it is built with AI, and some of it runs on AI as well.
Ostley OS
Your own system, in your business’s name and colours. It can follow up each quote in words you approve once, and it stops when the customer replies.
Built with AIEnquiries and documents
AI can read each enquiry and fill in the job, the suburb and the timing. When a detail is missing, your system sends the question you’ve already approved for it, as written, without asking you again. Turn off auto-send in Settings and the AI drafts each question instead, and each one waits for your OK. The AI can read a supplier invoice into your fields too.
Runs on AITools and apps
Custom software built with AI. Nothing inside it calls an AI model, so it does the same thing every time. A Sydney law firm has tracked its conveyancing matters on one since April 2026.
Built with AIDesign
Your brand, the pages customers find you on and the emails your business sends, designed and built by the people on your call.
Built with AI
We run Ostley on what we build
Our own enquiries and proposals run on software we built with AI. Send the form on this site and your details land in our CRM, which we built with Claude Code. It’s the same kind of system we’d set up for you.
How we run OstleyHow it runs

Scope
It starts with a free 20-minute call, on Google Meet or in person in Sydney. From there, we work out which problem to fix first and quote the fix.

Build
Live within 2 weeks of starting, and tested on your real work first. A bigger job is split so a piece goes live every 2 weeks.

Evolve
Once the first fix is live, we adjust it as you use it, get your team working with it and pick the next job together. Month to month after any minimum term in your proposal, with a full export of your data if you leave.
Questions
What does it cost?
We quote each job after the discovery call, once we both know what it involves. There’s no price list.
What if the AI gets something wrong?
When the AI isn’t sure, it says so and flags that customer for you to look at. If it’s sure and wrong, you’ll see what it read on the customer’s card before any quote goes out, and you can fix it there.
Nothing the AI writes goes out without your OK. A message you approve once goes out as written. Booking times and prices are always set or approved by a person.
Do my customers have to log in to anything?
No. Ostley OS is for you and your team, and your customers never log in to it.
Where does my data go?
When we set up the database behind the system you sign in to, we put it in Sydney. Services around it, like email and card payments, are often in the United States. The AI providers inside our systems don’t train on your data. Identifiable patient data never goes to an overseas AI model. When Ostley OS holds health or legal records, it runs on servers in Sydney and signing in takes a password and an authenticator code.
Is my business big enough?
If someone in your business spends hours each week on work a system should do, and you can name the work, it’s worth a call.
Who will I deal with?
One of Ostley’s two partners. The people on your call are the people who build it.
